Information you choose to share
When you enquire, we receive the details you enter, such as your name, email, optional phone number, preferred trip, travel dates, group size and message. We also keep related replies and administrative notes so we can follow up accurately.
Please do not include passport scans or numbers, card or bank details, medical records, or another person’s private information in an initial enquiry. If a confirmed trip needs additional information for permits or arrangements, we will explain what is needed and how to provide it separately.
Our hosting and security services may process technical information such as an IP address, browser details, request time and error information to deliver the website and investigate misuse.
Why we use it
We use enquiry details to answer your questions, prepare a quotation, discuss availability and organise a booking if you decide to proceed. Sending an enquiry does not subscribe you to marketing or confirm a paid booking.
We also use limited operational information to protect the website, investigate delivery problems and meet applicable record-keeping requirements. We do not use the enquiry form to make automated decisions that confirm a trip, charge you or determine your eligibility to travel.
Where European data protection law applies, responding to a requested quotation is a step taken at your request before a possible contract. Proportionate security and service administration support our legitimate interests; records required by law are kept to meet those obligations. Any optional marketing or non-essential tracking requires a separate choice. You can withdraw consent for an optional use without affecting earlier lawful processing.
Who handles your information
Authorised members of our team review enquiries in our administration system and receive notifications at himalpanta@gmail.com. They may export records for enquiry management or to respond to an information request. Enquiry records and exports are not public website content.
Netlify hosts the website and enquiry service, and Netlify Blobs stores uploaded public website images. Neon stores website administration and enquiry records. When email delivery is enabled, Resend sends service emails, including enquiry notifications and administration account emails, and Google operates our receiving email mailbox. These providers process the information needed for their respective functions. Website administration uses Payload CMS software.
If you proceed with a trip, relevant details may need to be shared with the affiliated operator and the accommodation, transport, guide or permit services involved. We will explain additional requirements as part of arranging the trip. We do not sell enquiry details or give them to advertisers.
Our team is based in Nepal and service providers may process information in other countries. You can contact us for details about the locations and safeguards relevant to your information. We may also disclose information when a valid legal obligation requires it.
Optional YouTube film
The optional “Watch Nepal” film uses an embedded YouTube player. We do not load that player or contact YouTube for it until you choose to open the film. You can browse journeys and send an enquiry without playing it.
When you choose to play, your browser connects to YouTube, a Google service. Google receives technical information such as your IP address, browser and device details, and the referring website, and may process your interaction with the player under its own Privacy Policy.
We use YouTube’s privacy-enhanced player. YouTube says views in this mode are not used to personalise your YouTube browsing experience or advertising outside this website. This does not make viewing anonymous or prevent Google from receiving technical information, and playback may involve cookies or other browser storage.
Closing the film removes the player and stops playback. It does not erase information already sent to Google or storage already created in your browser. You can manage that storage through your browser settings and review your Google privacy controls separately.
Access, security and retention
We restrict enquiry access to authorised staff and use protected administrative accounts and service connections. No website or email service can promise absolute security. Please report a suspected disclosure to our contact address without sending further sensitive documents.
We keep enquiry information while it is needed to respond and manage the discussion, then review inactive records for deletion. Booking, accounting or dispute records may need a different retention period under applicable requirements. Copies can also exist in the team mailbox, authorised exports and provider backups, so deletion is not necessarily immediate across every system.
You can ask how long we expect to keep your particular record or request earlier deletion. We will explain if a specific obligation prevents us from deleting some information.
Your choices and requests

Tell us the email address used for your enquiry and what you need; please do not send a passport copy as a routine first step. We may ask for proportionate verification before disclosing information.
Where applicable law provides them, you may also have rights to restrict processing, object to certain uses, receive a portable copy and complain to a relevant data protection authority. We will handle requests within the time required by the law that applies and explain any applicable limits.
The enquiry service is intended for adults arranging travel. We do not knowingly collect personal information directly from children. A parent or guardian can make a family travel enquiry using their own contact details and can contact us if a child has submitted information.

Our cookie policy explains browser storage and optional tracking. External websites you choose to visit have their own privacy practices. We update this policy when the service or its information handling changes; the date above identifies this version.
